Splitting Cells in Excel

  • If you want to divide a single cell, locate and click the cell. If it is a range of cells to be divided, highlight them all (note, the range can be any number of cells, but the range must be contained within the same column). Alternatively, you can select an entire column to be divided by clicking the column letter.
  • Ensure the cells to the right of the selected column, cell or range are blank – or they will be overwritten. Select the Data menu, and click Text to Columns.
  • The Text to Columns Wizard is displayed. This will detect whether or not the source data is separated by spaces or commas, and then presents several options such as the ability to set field widths and column breaks.

    In Step 1, selecting Delimited will force Excel to separate the source data by commas or tabs, whereas Fixed Width will force it to look for spaces instead. CHOOSE DELIMITED FOR SPACES TOO!

    E.g. a cell containing “1,1,1,1” should be separated using Delimited, and “1 1 1 1” should be separated with Fixed Width.

    Click Next.
  • In Step 2 of the Wizard, set the column breaks. A single left-click creates a column break, and double-clicking a break will delete it. You can also drag the column break markers, to increase or decrease width. Click Next.
  • In Step 3, select a format for the column based on the type of data being separated (e.g. General, Text, Date). Click Finish.
  • The data is extracted from the source column, cell or range of cells and split out over multiple cells.

Posting to Transcript

In Index tab
  • click on System Administration
    • Click on Student Portfolio
      • Click on Transcript Post
  • Choose Calendar (Year/School)
  • Select all subjects under desired school that you want to post
    • FCHS - All
  • Click box of each grade to include in post 
  • Select Term # (FCHS - Term1 or 2 (only two)
  • Uncheck comments box. If you do not uncheck this box teacher comments will show up on transcript
  • Click "RUN" 
    • Once you click "RUN" you can not reverse posting, unless done in individual student transcript.
    • You can post transcripts multiple times if for some reason course does not get posted. Re-posting to transcript will not redo or reverse what is already posted.

Importing Assessments into IC

- On GA DOE website or email select your “data” file you want to import.
- In the “Assessments Folder” create a folder within it titled the name of the testing results you are importing.
- Unzip file and drop that folder into the testing folder you just created.
- Open new .xls file if the “data” file is a non-layout file, otherwise open the testing “data” file.
- Pull up a testing file from previous testing period to see what fields you will need to keep for import. Make adjustments to new file and save as .csv file.
- Log into Infinite Campus
- Make sure are in the appropriate school
- Click on “assessments”
- Click on “Score Import Wizard”
- Select the appropriate test form the pre-formatted test list
- Click on “Browse File” tab to find you created spreadsheet
- Select your file and then click on “Upload & Continue”

- Make sure the following fields are marked correctly:
o Update Options: Replace existing record and remove data not specified in the import
o Import Mode: Test
o Output Format: HTML
- Click on “Test”

- This will show you if you have any errors.
o If you have errors correct them on your spreadsheet and then start back at “Score Import Wizard” until you complete without any errors.
- Once you have no errors change these fields to:
o Update Options: Replace existing record and remove data not specified in the import
o Import Mode: Import
- Click on “Import”
o Once you import it is imported and only K12 can make changes. The “Test” option should be used on all imports before final import.
- Check a few of your students to make sure everything looks fine.
- To create a new test
- Under “Assessments” click on “Test Setup”
- Click “New”
- Name the test
- Only CRCT/Milestones would possibly have “Parent Test”
- Enter Code
- Subject in the drop down
- Assessment Type (general)
- NO DATES (if you enter dates it limits what you can you this test setup for)
- State Test and choose code in the drop down
- Choose the following score fields:
o Date
o Scale Score
o Result
§ You can other options if you need the info for a particular test
- In the “Result Status” you will enter numerical value for:
o Value: 1 2 or 3 etc..
o Result Code: E M DNM
o Label: Exceeds Meets Does Not Meet
o Make sure to click the box to the right for passing level
- Click “Save”

Java Won't Launch

When launching Java, the computer doesn't recognize Java Web Start and opens as a text file. The Web Start application is difficult to find since it is not in Applications or Utilities. Try looking in System>Library>CoreService.

This works with OS 10.7.5.
